Terms & Conditions
Incudes Studio Hire Information
These Terms & Conditions apply when enrolling in classes, booking tuition, attending events or using services provided by Dance Crazy Studios.
By making a booking, enrolling in a class or using our services, you agree to these Terms & Conditions. Parents or guardians accepting these terms on behalf of a child are responsible for ensuring that both they and their child comply with them.
Dance Crazy Studios may amend these Terms & Conditions where reasonably necessary. Any significant changes affecting existing bookings or subscriptions will be communicated to customers.
Class Information & Timetables
Class times, locations and other timetable information will be made available through our website, social media channels, studio notice boards and TV screens within the reception area of our Llantwit Fardre studio.
Timetables may be amended from time to time. Dance Crazy Studios reserves the right to change class times, venues or teachers where reasonably necessary.
New students may join classes throughout the term where spaces are available.
Examinations & Competitions
Dance Crazy Studios may offer pupils the opportunity to participate in UKA examinations, competitions and other dance events.
Entry into an examination or competition is not automatic. Teachers will advise pupils or their parent or guardian when they believe the pupil is ready to participate.
Any applicable entry fees, additional tuition, costumes, travel or other associated costs will be advised separately.
Pupils or parents who are interested in examinations or competitions are encouraged to speak to their teacher.
Communications
Important studio information, timetable updates, events and announcements may be communicated through our website, social media channels, email, studio notice boards and reception TV screens.
Customers are responsible for ensuring that the contact information supplied to Dance Crazy Studios is accurate and kept up to date.
Parents and guardians are responsible for ensuring that we have current contact information for them and, where appropriate, an emergency contact.
Clothing & Footwear
Students must wear clothing and footwear that is safe and appropriate for the class being attended.
After their first term, children attending Dance Crazy Studios are required to wear the appropriate Dance Crazy branded T-shirt or dress.
Suitable dance footwear is required for Ballroom and Latin classes when advised by the teacher.
Dance Crazy merchandise and dance footwear are available to purchase through our website or from our merchandise shop at the Llantwit Fardre studio.
Students or parents requiring advice on suitable clothing or footwear should speak to a member of the Dance Crazy team.
Changes & Cancellation by Dance Crazy Studios
Dance Crazy Studios reserves the right to change teachers at short notice where reasonably necessary.
We may cancel, combine or reschedule classes where there is insufficient demand or where circumstances beyond our reasonable control prevent a class from taking place as planned.
Where Dance Crazy Studios cancels an entire course or service and no suitable alternative is provided, fees paid for sessions that will not take place will be refunded where appropriate.
Where an individual class is cancelled due to competitions, events or circumstances beyond our control, an alternative class, date or venue may be offered where reasonably possible.
Payment
Dance Crazy Studios offers both subscription-based and pay-as-you-go payment options, depending on the class or service being booked.
Payment may be made using the payment methods made available by Dance Crazy Studios, which may include card payment, bank transfer or cash.
All applicable fees must be paid when due.
Where an introductory or trial class is offered free of charge, any subsequent attendance will be subject to the normal payment arrangements for that class.
Subscriptions
Where a class is paid for by subscription, the subscription will continue to renew automatically until it is cancelled.
It is the customer’s responsibility to manage their subscription and ensure that it is cancelled before the next renewal date if it is no longer required.
Once a subscription payment has been processed, a refund will not be issued simply because the customer no longer wishes to attend or has forgotten to cancel their subscription.
Cancelling a subscription prevents future renewal payments but does not retrospectively cancel or refund payments that have already been processed.
Failure to attend classes does not automatically cancel a subscription.
Pay-As-You-Go Classes
Where a class is offered on a pay-as-you-go basis, payment must be made in accordance with the booking arrangements for that class.
Places are subject to availability. Attendance or payment for one session does not guarantee availability for future sessions unless a separate booking or subscription has been made.
Missed Classes & Refunds
Fees for classes missed by a pupil are not refundable.
Refunds will not normally be provided for payments that have already been processed, except where Dance Crazy Studios cancels a service without providing a suitable alternative or where a refund is otherwise required by law.
Safeguarding & Child Protection
Dance Crazy Studios is committed to providing a safe, positive and supportive environment for all children and young people who take part in our classes, tuition, events and activities.
Safeguarding is the responsibility of everyone. Dance Crazy Studios maintains safeguarding procedures in accordance with applicable legislation and safeguarding guidance in Wales, including the Wales Safeguarding Procedures.
Staff, Teachers & Volunteers
Dance Crazy Studios operates safer recruitment and safeguarding procedures for those working with children and young people.
Teachers, staff and volunteers will be subject to appropriate safeguarding checks, including Disclosure and Barring Service (DBS) checks where their role is eligible or requires them.
Those working with children are expected to understand their safeguarding responsibilities and to report any concerns regarding the safety or welfare of a child in accordance with Dance Crazy Studios' safeguarding procedures.
Arrival, Collection & Supervision
Parents and guardians remain responsible for ensuring that children arrive safely for their class and are collected promptly at the end of the session.
Dance Crazy Studios' responsibility for supervising a pupil begins when the pupil is accepted into the class or activity and ends when the scheduled session finishes and the pupil leaves the teaching area.
Parents or guardians of children under the age of 12 are asked to remain within the studio waiting area while their child's class is taking place unless an alternative arrangement has been agreed with Dance Crazy Studios.
Young people aged 12 to 17 may arrive at and leave the studio independently where their parent or guardian is happy for them to do so.
Parents or guardians who do not wish their child to leave unaccompanied must inform Dance Crazy Studios.
Parents and guardians are responsible for making appropriate supervision and collection arrangements before and after their child's scheduled class or activity.
Physical Contact During Dance Tuition
Dance is a physical activity and appropriate physical contact may sometimes be necessary as part of teaching. This can include correction of posture, positioning and technique, partnering or contact necessary for a pupil's safety.
Any physical contact by a teacher must be appropriate to the activity, necessary and proportionate, and carried out professionally and respectfully.
Where reasonably practicable, teachers will explain the purpose of physical contact before making a correction.
Pupils should feel able to say if they are uncomfortable with physical contact and their wishes will be respected.
Parents or guardians who have concerns regarding physical contact during tuition are encouraged to discuss these with the teacher or Dance Crazy Studios.
Physical punishment of any child is strictly prohibited.
One-to-One Tuition
One-to-one tuition involving children and young people will be conducted in accordance with Dance Crazy Studios' safeguarding procedures.
Parents and guardians are welcome, and for younger pupils may be encouraged, to remain within the studio waiting areas while one-to-one tuition is taking place.
Safeguarding Concerns
Any safeguarding concern regarding a child or young person attending Dance Crazy Studios will be taken seriously and dealt with in accordance with our safeguarding procedures and the Wales Safeguarding Procedures.
Where Dance Crazy Studios believes that a child may be at risk of abuse, neglect or harm, relevant information may be shared with the appropriate safeguarding authorities where necessary to protect the child.
Where there is an immediate risk to a child's safety, the appropriate emergency or safeguarding services will be contacted.
Parents, guardians and pupils who have a safeguarding concern should raise it with Dance Crazy Studios' designated safeguarding lead or a member of the management team.
Equality & Inclusion
Dance Crazy Studios is committed to providing an inclusive environment in which pupils, parents, visitors, staff and teachers are treated fairly, respectfully and with dignity.
We do not unlawfully discriminate on the basis of any protected characteristic under the Equality Act 2010.
Dance Crazy Studios will make reasonable adjustments where required to enable disabled pupils and customers to access and participate in our classes, activities and services.
Parents, guardians and adult pupils are encouraged to make us aware of any additional needs or reasonable adjustments that may assist participation.
Any information provided will be handled appropriately and shared only where necessary.
Health, Medical Information & Emergencies
Parents, guardians and adult pupils are responsible for providing Dance Crazy Studios with relevant and up-to-date information that may affect safe participation in our classes or activities.
You must inform us if:
- you or your child has a medical condition, allergy, injury, disability or additional need that may affect participation;
- there is a change in circumstances that may affect participation or the support required; or
- your contact or emergency contact information changes.
Students should not participate in an activity where they are unwell or injured and participation could reasonably present a risk to themselves or others.
Teachers may ask a pupil not to participate, or to modify their participation, where they reasonably believe it would be unsafe to continue.
Medication
Dance Crazy Studios does not routinely administer medication.
Where a child may require medication during a class or activity, including emergency medication, parents or guardians must discuss this with Dance Crazy Studios in advance so that appropriate arrangements can be agreed.
Accidents & Emergencies
Appropriate first aid will be provided where reasonably necessary.
Where an injury or illness requires further medical attention, Dance Crazy Studios may contact the pupil's parent or guardian, emergency contact and/or the emergency services as appropriate.
Accidents and incidents will be recorded in accordance with Dance Crazy Studios' procedures.
Parents and guardians must ensure that current emergency contact details are provided to Dance Crazy Studios.
Behaviour & Conduct
Dance Crazy Studios aims to provide a safe, welcoming and respectful environment for everyone.
Students, parents, guardians and visitors are expected to:
- treat teachers, staff, other pupils and visitors with respect;
- follow reasonable instructions given by teachers or staff;
- behave safely and appropriately while on Dance Crazy Studios premises or participating in our activities;
- refrain from abusive, threatening, discriminatory, intimidating, bullying or harassing behaviour; and
- respect the property of Dance Crazy Studios and others.
Mobile phones should not normally be used during classes unless permission has been given by the teacher or their use is required for an agreed purpose.
Photography, Video & Recording
Photography, video or audio recording during classes, lessons or activities must not take place without permission from Dance Crazy Studios.
Additional restrictions may apply where children and young people are present.
Any photography or filming undertaken by Dance Crazy Studios will be managed in accordance with our applicable consent and privacy procedures.
Online & Social Media Conduct
The same standards of respectful behaviour apply to communications and online interactions concerning Dance Crazy Studios, its pupils, teachers and staff.
Bullying, harassment, threats, discriminatory comments or abusive behaviour through social media, messaging services or other online platforms will be treated seriously.
Reasonable criticism, complaints or personal opinions will not in themselves be treated as misconduct. Concerns regarding Dance Crazy Studios are encouraged to be raised through our complaints procedure so that they can be addressed appropriately.
Breaches of Conduct
Serious or repeated breaches of these standards may result in a warning, removal from a class or activity, or termination of enrolment or services.
Where appropriate, parents or guardians will be contacted and given an opportunity to discuss the matter.
Dance Crazy Studios reserves the right to immediately remove a person from a class, activity or premises where their behaviour presents a reasonable risk to the safety or welfare of themselves or others.
Private Lessons & Cancellations
Private lessons reserve a specific period of a teacher's time and, where applicable, studio space. Short-notice cancellations can result in that time being unavailable for another pupil.
Unless different cancellation terms are advised at the time of booking, the following cancellation policy applies:
- 7 days or more notice: no cancellation charge.
- Less than 7 days' notice: up to 50% of the lesson fee may be payable.
- Less than 48 hours' notice or non-attendance: up to the full lesson fee may be payable.
Where the cancelled teaching slot is successfully filled by another booking, any cancellation charge may be reduced or waived as appropriate.
Cancellation charges are intended to reflect the loss associated with reserved teaching and studio time and will not exceed the amount reasonably due as a result of the cancellation.
We recognise that exceptional circumstances can occur and these will be considered reasonably on a case-by-case basis.
Where a private lesson is provided directly by a self-employed teacher, the teacher is responsible for the tuition they provide and any additional terms applicable to their services will be made clear when the lesson is arranged.
Personal Property
Students, parents and visitors are responsible for their own belongings while attending Dance Crazy Studios.
Dance Crazy Studios accepts no responsibility for loss, theft or damage to personal property except where liability cannot legally be excluded.
We recommend that valuable items are not left unattended within the studio.
Complaints
Dance Crazy Studios aims to deal with concerns and complaints fairly and promptly.
Where possible, concerns should initially be raised with the relevant teacher or a member of the Dance Crazy management team so that we have an opportunity to resolve the matter.
Formal complaints should be made in writing and should include sufficient information for us to understand and investigate the concern.
Complaints may be sent by email to:
